Data Storage, Use and Security Policy

We know there's a lot of uncertainty and anxiety about sharing contact details and what businesses do with that contact data. We want to make clear how we store personally identifiable information and other data.

Signups via our homepage

When you sign up on our homepage to receive our newsletter, we store this contact information in Mailchimp. This is a password protected service which The Marketing Department employees have access to on an as-needed basis. This contact information is never disclosed to anyone else.

If you’ve signed up to our mailing list, we’ll be in touch occasionally to update you on our work, marketing insight, tips and tricks. We’ll not use it for any other purpose.

Every time we send a newsletter, there is an unsubscribe link in the footer of the email. If you click this, you’ll be removed from our mailing list and we won’t send you any future editions of the newsletter.

Data we have access to via our clients

Occasionally, clients will enable us to access their marketing and contact lists for the purpose of executing marketing campaigns for them. This information is accessed via the preferred software clients use to manage their data and campaigns (Salesforce, Hubspot, Mailchimp etc). 

We do not download any information from these platforms and store it locally, unless we are executing cleanup projects or consolidating multiple lists into one for efficiency and data hygiene. When this happens, the downloaded data is deleted once it has been re-submitted to the client’s marketing software. It is not shared with anyone outside of The Marketing Department and is accessible only by TMD employees working on that particular project.

Security of information

We have robust security and encryption technology and processes in place to ensure that all data The Marketing Department handles - from contact information to financial quotes to artwork for projects - is stored and backed up securely to prevent unauthorised access, but also allow us to recover data in the event of an unexpected loss. We are happy to disclose these processes to clients if this information is required.
